Midday Updates

Supervisors must

-Update the staff schedule at least once during the middle of the day (10AM-2PM)

-Scan e-mails for further schedule changes and make note of these changes, especially potential gaps, on the "Staff Hours" availability page

-If there is a change in the class schedule, update the Walk-In Hours accordingly and notify the staff of this change. Make signs and post them on the lab door, if necessary.

-Check for voicemail messages. If there is a voicemail, the voicemail button will glow red and Outlook will send a notification.

-The voicemail greeting should be changed the day before the lab is closed for a holiday.

-Monitor timesheets

  1. Any deviation from the staff schedule should have a note on the time sheet from a supervisor in red ink with the supervisors initials.
  2. Most deviations should be added to the staff schedule.
  3. If one does not arrive in the first half hour, email them, ask them if they will show up for that shift. If there is no response, consider it an unexcused absence. (Will this cause a GAP?)
  4. Did people clock in and out?
  5. Does it have a name, preferably on both sides?
  6. Does everyone on the staff schedule have a timesheet in the inbox?
  7. If it is not in the inbox, is it in the outbox?
  8. Check to make sure that people who have clocked out are not in the inbox.
  9. Is everyone in the inbox accounted for?

-Hide or put out birthday cards, depending on the staff working at the time. Make sure staff do not sign twice.

-Send staff to check snail mail by 1:30PM, unless told otherwise that mail has already been checked.

-Ensure office is cleaned via the 3-step method. Chairs should be moved outside while the office is being cleaned.

-Supervise transitions

  1. The lab should be clean and all chairs should be properly arranged.
  2. Are lab assistants actively monitoring for food and drinks?
  3. OneCard Printer should be checked for paper by lab assistants, and refilled if running low. Paper can be retrieved from the trays in the Konica printer, located in the office.
  4. Epson Dot Matrix printers should NOT be paused. If paused, gently hold the pause button to unpause, or turn the printer off and on, using the switch located on the left side.
  5. All computers must be logged on as labuser (SOCSCILAB##), including instructor's computer and podium computer. If a computer is out of order, place an "Out of Order" sign on it, which is located in the office.
  6. Lab assistants should be monitoring the lab until the professor arrives, or the official start time of the class, whichever is LAST.
